Why Member Check-Ins Matter at Beacon Community Fitness & Yarmouth Community Fitness

This week is Member Check-In Week at both Beacon Community Fitness and Yarmouth Community Fitness, across all of our programs.

If you’ve been around for a while, you know that one of our core values is connection. We believe fitness works best when it’s personal, and our member check-in process is one of the ways we intentionally strengthen the connection between our coaches and our members.

But these check-ins aren’t just about collecting feedback

They’re about making sure you’re actually getting what you came here for.

Remember Why You Started

When someone joins one of our gyms, we spend time getting to know them. We want to understand their goals, their challenges, and what success looks like for them.

Let’s use “Jane” as an example.

When Jane first joined us, she told us that she wanted to make her health and fitness a priority again. It had been years maybe decades since she had consistently put herself first.

Her goals weren’t complicated:

  • Get stronger
  • Feel better in her body
  • Build a sustainable fitness routine

Together, we determined that the first step was simply showing up consistently three times per week.

So off Jane went. She completed her onboarding, started attending classes, and began building momentum.

The Power of Reflection

Every 90 days, our members participate in a simple check-in process during the last 5-10 minutes of class.

We intentionally schedule this during time that would normally be used for mobility work because we believe reflection is just as important as training. Members receive a sheet with three simple—but often powerful—questions:

  1. What has been your biggest win over the last 90 days?
  2. What has been your biggest obstacle?
  3. What would you like to focus on over the next 90 days?

For Jane, this process creates an opportunity to step outside the hustle and bustle of everyday life and recognize something important:

She’s been showing up. Three days a week, just like she planned. Her biggest win isn’t a personal record or a number on a scale. It’s that she started showing up for herself again. She feels stronger. She feels better in her clothes. She feels better in her body. Those victories matter.

The Information That Helps Us Coach Better

The second question often reveals opportunities for growth. When Jane reflects on her biggest obstacle, she realizes that while she’s become comfortable with her coach, she hasn’t yet built many relationships with other members.

That’s valuable information. As coaches, we know that connection and community play a huge role in long-term success. Understanding where someone feels supported—and where they may need more support—helps us create a better experience for them.

Then comes the third question.

What do you want to focus on next?

This is often where we learn that a member’s goals have evolved. In Jane’s case, she shares that she’s signed up for a local 10K and is excited to start training. As her coaches, that’s incredibly helpful information. Now we can have conversations about:

  • Balancing running with strength training
  • Managing recovery
  • Preventing overuse injuries
  • Building a training plan that supports her goals

What might seem like a simple answer on a piece of paper often opens the door to meaningful coaching conversations.

My Favorite Part

As the gym owner, this is the part I love most. While I still coach, I don’t get the opportunity to spend day-to-day time with every member across both locations.

More often than not, I’m the person who originally sat down with someone when they joined. I’m the one who heard their goals, their concerns, and the reasons they decided to take that first step.

That’s why every member check-in includes one final question:

Would you like a 15-minute Member Check-In with Kristen or Elizabeth (depending on your program)? If the answer is yes, members simply scan a QR code and book a virtual conversation with me. During that call, we connect the dots. We look at what’s working, what isn’t, and what the next 90 days should look like. Together, we create a plan and identify the next steps that will move them closer to their goals.

And if they don’t schedule a call?

That’s okay too. They’ve still provided valuable information that helps our coaching team better support them.

What Happens to the Check-In Forms?

A lot, actually. Once completed, the forms are organized by class and reviewed by our coaching team. Before classes begin, coaches sit down and read through the responses from the members they work with. They learn:

  • What’s been going well
  • What challenges members are facing
  • What goals are emerging
  • Where additional support may be needed

This allows our coaches to coach the whole person—not just the workout in front of them.

Looking for Trends Across Our Community

The impact doesn’t stop there. Our leadership team also reviews the check-ins to identify larger trends across our community.

  • Are lots of members interested in running?
  • Are people struggling with recovery?
  • Do members want more support around nutrition?
  • Are there common obstacles showing up repeatedly?

These insights help us create better opportunities for our community.

  • Sometimes that means launching a specialty program.
  • Sometimes it means creating a workshop.
  • Sometimes it means starting a run club, hosting an educational event, or introducing new resources.

The goal is always the same: To better serve the people who trust us with their health and fitness.

More Than Workouts

At Beacon Community Fitness and Yarmouth Community Fitness, we believe fitness is about more than sets, reps, and workouts.

It’s about building relationships.

It’s about understanding where you’ve been, where you’re headed, and how we can help you get there.

Our member check-ins are one of the many ways we make sure every person who walks through our doors feels seen, supported, and coached as an individual.

Because great coaching isn’t just about telling someone what to do.

It’s about listening.
